Team Calendar
The Team Calendar is reached from Team Calendar in the left navigation. It’s the firm’s shared, organization-wide view of who’s out and when — separate from your personal My Calendar (which shows your matter deadlines and signature dates).
What’s on it
Section titled “What’s on it”By default the Team Calendar shows people events — it deliberately does not dump everyone’s matter deadlines on the whole firm.
- Vacation, Away & Leave — when team members are out. Each renders as a bar across every day it covers. Anyone can add their own; owners and admins can record time away on behalf of another team member.
- Holidays & Firm events — office closures, firm-wide meetings, and other events that apply to everyone. Owners and admins manage these.
Use the type buttons along the top to show or hide each kind of event.
Leave is private
Section titled “Leave is private”Leave is for extended or statutory time off and carries an optional, private reason (Medical, Parental, Bereavement, or Other). To the firm at large the entry reads only “On leave” with the dates — the reason, title, and notes are visible only to the person themselves and to HR, admins, and owners. This lets the firm see who is out for coverage without exposing sensitive detail.
Overlaying a colleague’s deadlines
Section titled “Overlaying a colleague’s deadlines”To see someone’s matter court dates and deadlines, use the Overlay a calendar picker at the top. It lists colleagues who have shared their calendar, and overlays one person at a time — so you’re never staring at the whole firm’s thousands of dates at once. Click an overlaid deadline to jump straight to the matter. Choose No overlay to return to the people-only view.
A colleague only appears in the picker if they’ve shared their calendar (below).
Sharing your calendar
Section titled “Sharing your calendar”Sharing is opt-in and off by default — your matter deadlines are never exposed to the team automatically (this is separate from the existing person-to-person calendar sharing). There are two ways to share:
- Share my calendar — the toggle along the top turns on a standing share. While it’s on, your name is in everyone’s Overlay a calendar picker and colleagues can lay your matter deadlines over the calendar. Turn it off any time.
- Coverage while you’re away — when you add a Vacation / Away / Leave, tick “Share my calendar for coverage during this time.” Your deadlines become overlayable for just that period and revert automatically when you’re back. This is the “someone is covering my files while I’m out” case — no permanent exposure, no manual cleanup.
In all cases it is your matter deadlines that are shared — never a Leave reason, which always stays masked to “On leave.”
Time-off summary
Section titled “Time-off summary”Below the calendar, the Time off panel (titled with the displayed year) totals time off (in days) by type for that year:
- HR, admins, and owners see a firm-wide roll-up — each team member with their Vacation, Away, Leave, and Total day counts.
- Everyone else sees their own total for the year.
Day counts are clipped to the calendar year, so a span that crosses a year boundary is counted only for its in-year portion.
